Scope of Application

This privacy policy sets forth the handling of personal information of users of the School Record, Truancy Prevention and Re-entry Support Service (“Service”) provided by ToCo Co. (hereinafter referred to as “ToCo”), and its School Chart, Truancy Prevention and Re-entry Support Service (hereinafter referred to as “the Service”).

Definition of Personal Information

Personal information is defined as information about a living individual that can be used to identify a specific individual by name, date of birth, address, telephone number, or other description (including information that can be easily cross-checked with other information and thereby used to identify a specific individual). Acquisition of Personal Information

We obtain the following information from users when they use the Service.

  • Contact information such as name and e-mail address
  • Information regarding the status of children who are not attending school
  • Information regarding the history of use of the Service

Purpose of Use of Personal Information

We will use the acquired personal information for the following purposes

  • Provision, operation, maintenance, and improvement of this service
  • To provide information and respond to inquiries regarding the Service
  • Conducting questionnaires and marketing surveys related to the Service
  • Notification of changes to the Terms of Service, policies, etc.
  • Responding to opinions and requests regarding the Service

Provision of Personal Information to Third Parties

We will not provide personal information to third parties without the consent of the user. However, we may provide personal information without the user’s consent in the following cases

  • When required by law
  • When it is necessary for the protection of a person’s life, body, or property, and it is difficult to obtain the consent of the user
  • When it is especially necessary to improve public health or to promote the sound growth of children, and it is difficult to obtain the consent of the individual concerned

Outsourcing of Personal Information

In providing this service, we may outsource the handling of personal information to outside parties. The outsourced party must meet the standards set by the Company, and the Company will exercise necessary and appropriate supervision over the outsourced party.

Disclosure, Correction, Suspension of Use, and Deletion of Personal Information

Users may request the Company to disclose, correct, discontinue use of, or delete their own personal information held by the Company.

Upon the user’s request, we will conduct the necessary investigation without delay, and based on the results of the investigation, we will disclose, correct, suspend, or delete the personal information.

Safety Measures

The Company shall take the following measures to ensure the safe management of personal information.

  • Restrictions on access to personal information
  • Restrictions on taking personal information out of the Company’s premises
  • Measures to prevent leakage, loss, or damage of personal information

Revisions

The Company will revise this policy as necessary. The revised Privacy Policy will become effective when posted on the Company’s website.
